The Buddy Program Bash through Maddie Hawken (hereafter, the "Applicant"), has applied to the Director for approval of a Special Event Permit to conduct a benefit event for the Annual Bash for the Buddies at 1650 McLain Flats Road also known as Merry Go Ranch off McLain Flats Road. Approximately 550 guests, 30 volunteers, and 89 support personnel are anticipated. The event will include dinner, live music, and an auction. 3. The event is proposed to occur on July 6"', 2017 and will run from 5:00 PM to 1:00 AM on July 7's, 2017. Setup is proposed to begin on July I' and dismantle of the event infrastructure will conclude on July 11'". 4. This application was referred to the Sheriffs Office, Aspen Fire Protection District, Pitkin County Regional Emergency Dispatch Center, Aspen Ambulance District, and Environmental Health. Adequate Liability Insurance coverage has been obtained. A tent permit has been submitted and the Fire Marshall will inspect the tent prior to the event. Aspen Ski Company is a licensed caterer and will cater the dinner. All parking will be contained on site. An EMT will be at the event for emergency response. A liquor license has been obtained and bar tenders will be TIPS Trained. S. The Director finds that, to the extent applicable, the application complies with the standards in 4-30- 50(1) of the Land Use Code. THE DIRECTOR HEREBY APPROVES the Special Event Permit for the 2017 Bash for the Buddies, subject to Applicant's compliance with each of the following conditions: 1. The Applicant shall adhere to all material representations made in, or in connection with, the application. 2. Any guests who are not of the legal drinking age shall be identifiable to staff serving alcohol to ensure non -consumption. 3. The Applicant shall contact the Aspen Fire Department prior to the event for an inspection of the tents and shall comply with any of the Fire Department's requirements (e.g., for tent exits and on-site fire extinguishers). 4. Parking shall only occur on site and no parking shall occur on McLain Flats Road. The field where cars are parked shall be mowed and watered to reduce fire danger. 5. The event shall comply with County noise regulations that limits noise to 55 dBA during the day (7:00 AM to 7:00 PM), and 50 dBA during the night (7:00 PM to 7:00 AM) measured at the property line. 6. The Applicant shall ensure that some portable toilets are equipped for handicap access. 7. Failure to comply with the conditions of approval may result in revocation of this permit. All tickets must be purchased in advance and there will be a limit based on what the tent allows for occupancy. Once the occupancy is reached we will not sell any other tickets and only guests with pre -purchased tickets will be allowed in by security. There will be advance training for volunteers on July 5th. Tickets will be sold for tables and admission for fundraising. Tickets are sold at the following price points: Tickets: $750 & $1000 per person Tables: $10,000, $15,000 and $25,000 per table. We will not be using handheld radios. Emergency Medical Service Providers: We will have security at the event. There will also be an EMT on staff. If there is a medical emergency, we will call 911 or have security bring them to hospital. We will have the fire department approve and inspect the tent for all necessary items. There will be many areas to exit the tent. EventRents will be submitting the tent approval paperwork. Public Information: If there are any changes in the event, which we do not expect there will be, we will notify all guests through email, Buddy Program website and an ad in the newspapers if need be. There will be a large welcome sign and entrance to the tent. We will also have Jay's Valet parking cars and directing guests to check in which is run by Buddy Program staff and volunteers. Then guests will be directed to the silent auction tent. There will also be security and staff welcoming guests to the appropriate location.
