New Business LSCA Grant Proposals Pitkin County Personnel Plan S Next Meeting: March 26, 1979 7:p.m. - Library Meeting Room S Pitkin County Library Board of Trustees Meeting February 20, 1979 President Smyth called the meeting to order. Board members present were: Sally Smyth, Barbara Prebble and Mona Frost. Board members excused were: Mike Otte and Dick Clark Also present: Florence Kirwin, Library Director The minutes of the January 15, 1979 meeting were read and accepted as corrected, to read: The January statistics were read, discussed and accepted. REPORTS Friends of the Library Committee. It was moved by Barbara Prebble, seconded and carried, that $3,000 be placed in a 6 month Certificate of Deposit, $2,247.48 in the Savings Account, and $1,000 in a checking account. At the present there are 327 members of Friends of the Library; - nine new members since January and seven Life Members. Architectural Expansion Program. Barbara Prebble read a letter from Bill Blizzard, an architect from Denver, who had met with Barbara, Foxie Kirwin, Library Director, and Mike Otte, who studied the present building and the needs for the future. Mr. Blizzard would like to bid on the job if plans are made for expansion. The plans could include improving energy efficiency, redesigning interior space, traffic patterns, etc. Aspen Visual Arts Center. Philip Yenawine of the Visual Arts Center met with the Board to discuss the possibility of an art library at the Visual Arts Center, sponsored and funded to the amount of $3,000. by the Pitkin County Library. This would include card files, periodicals, books (including references) , art dictionaries, monographs on artists, slides on famous art works, etc. Snowmass Village. Barbara Prebble reported on the Snowmass Village Town Planning meetings which she has attended, as a Library Board representative. They are pleased that we have drawn up a possible contract with them for library services. They have plans which may make it possible to have the Town Hall , Post Office, and Library in one building. They definitely are interested in having a branch library in the town and will be happy to accept a card catalog from the main library. The projected figure for population increase is from 15,000 to 30,000 in 15 years. Librarian's Report. The Community Analysis report is in final draft and is pre- sently being typed. The report will be available approximately March 1. (The Librarian's Report is attached. ) Interview Procedures,for hiring new director, were discussed. Selecting possible candidates for interviews will be on March 14th, by special committee, consisting • of two Board members, one staff member, and one person from the community. On March 26th, the Board will interview the chosen candidates. � 4.r LSCA Grants. Two grant proposals have been sent to the State Grants Committee. These proposals are for (1) Indexing the Aspen Times, and (2) the Archival Tape Project. The Pitkin County Personnel Plan, by Phyllis Kenney, has not,at the time of this meeting, been approved. The biggest change will be in the sick leave policy. It was moved by Barbara Prebble, seconded and carried, that Mona Frost's expenses of $42.10 to the regional Governor's Conference on Libraries in Dillon could be allowed. The library is looking for a meeting room and volunteers for a children's film program in Snowmass Village. When this is accomplished, a film program will be started for Snowmass Village children. Florence Kirwin will be attending the Governor's State Conference on Libraries in Denver in April . Jane Jenkins of Aspen, a non-library delegate, will also be attending. ipThe meeting closed in due form. Librarian's Report February 20, 1979 Administration: The Community Analysis report is in final draft and is presently being typed. It is expected this report will be available approximately March 1st. Some changes are being made in the Young Adult section. The library staff have begun to remove all of the non-fiction materials from this section. Books will be evaluated as to difficulty and added to either the adult or the juvenile section or withdrawn, depending upon the age of the material . The reason for this decision is to increase usage of the materials and reduce duplication, since it appears that most of the non-fiction materials in the Young Adult section do not circulate well . Other changes will involve adding some bookstore face out shelv- ing and purchasing a collection of paperback materials which are intended to be of special interest to this age group. In the juvenile section, an inventory of the non-fiction section is nearly complete. Staff members have been working, pulling cards and checking books against the shelf list. Itis expected this inventory will improve access to the collection, since new subject headings are being added in many cases, old material is being withdrawn and cards checked for accuracy. • In the music room, the video cassette recorder has been set-up in the new video cart donated by Friends of the Library. This equipment has become quite popular with as many as three individuals per day viewing materials during January- February. The library is presently participating as part of a Boulder Public Library video-center grant. Some money has been made available to copy some of the master Grassroots videotapes. These copies will be available for circulation to other libraries. Grassroots has approved this copying and is very pleased that their tapes will be available. Services: The children's Valentine and other holiday Story Hours have been filmed by Grassroots as part of their children's coverage. It is hoped that a children's film program will be underway at Snowmass Vil- lage before too long. The library is still searching for an individual who will volunteer to run the films on Saturday afternoon at the Opticon Theater. The film program runs each Friday in the meeting room at the library and has been well received. • � r 4110 The Smithsonian exhibit, "Photographing the Frontier" , is set up along with an exhibit of historical artifacts from the Stallard House Museum, at the Community Center. Edward Blair will speak at the library. Hilda Thurston and Daniel Dupill will be attending the CEMA Convention in Colorado Springs on February 24-25th, along with Elaine Scoofakes from the school district. Helen Sullivan will be attending a workshop in Denver in March, concerned with effective interlibrary loan service to patrons. In case you don't know, the library now has an extensive clipping file of the Aspen Times, which was started by Judy Kolberg. The clipping file is organ- ized by subject and is easy to use. The library has sent to Denver for microfilming, 80 county documents. These documents include many of the bus and transit studies which were done, as well as other studies about Aspen. Once microfilmed, a copy of the microfiche will be available at the Courthouse and another at the Library. A new cassette rack will be added soon in the music room. The library now owns- a carousel slide projector. The new Sysdac patron checkout system for the desk will hopefully be ready for operation approximately March 1st. The new system will involve plastic library cards which will have the patron's name, address, and telephone number • embossed on the card. The library will be able to emboss the library cards and they will be permanent types of identification. The first print-out of names from the County computer have been sent to Brodart for embossing and the first 2,000 library cards should be ready for distribution approximately March 15th. The Public Library Division of the Colorado Library Association will be holding its Spring Meeting in Aspen at the Aspen Institute on June 1 and 2, 1979. Florence M.
