Based on our conversation with you on 8/8/2024 we understand that the following services under Public Outreach / Public Process Coordination require approval under a Task Order amendment in order for the project team to meaningful move forward with next steps through the end of 2024. Task 105 Engagement Plan ($5,880) Purpose:This phase of work focuses on maintaining a successful community engagement process. We will update the Community Engagement Plan that lays out the project’s methods for facilitating outreach to the community, stakeholders, the public, and staff. We will update the engagement schedule, outlining opportunities for community feedback and documenting project milestones. Deliverables anticipated under this Task include: ●Updates to the Community Engagement Plan through December 2024. ●Updates to the stakeholder matrix through December 2024. ●Engagement scheduling and logistics support through December 2024. Original Task 105 amount: $20,000 Amended Task 105 amount: $25,880 Task 106 Workgroup Set Up ($27,000) Purpose:This phase of work focuses on the scheduling, logistics and continued meeting and work plan support for the Working Group as it expands to welcome Caucus members under the Comprehensive Plan element of Pitkin County Vision 2050. Design Workshop and GBSM will continue to support County staff through the development of meeting agendas, facilitation guides, presentation materials, and accompanying aggregation and synthesis of data through ongoing studies and analyses. The Workgroup will continue to act as a community proxy weighing in on project data, key findings and themes, including work under the Comprehensive Plan and Building / Energy Code updates. Design Workshop and GBSM will collaborate on the development of meeting materials, meeting plans and content, and facilitation in conjunction with County staff. Original Task 106 amount:$35,000 Amended Task 106 amount:$62,000 Task 107 Subject Matter Focus Groups ($30,870) Purpose:Based on the data derived from technical analyses,case study reviews,and data synthesis Design Workshop will lead the development of materials for small subject matter Focus Groups that are intended to provided technical stakeholders with the opportunity to weigh in on key findings,provide local industry experience,and promote dialogue across a variety of viewpoints.These discussions will allow County staff and the project management team to dig deeply into issues with local experts and frequent code users. As technical project managers,Design Workshop will collaborate with subconsultants and experts to create engaging,facilitated discussions that will collect both quantitative and qualitative input.GBSM will support through meeting logistics,development of meeting materials,attendance at meetings,facilitation assistance, and keeping line-of-sight on aggregate data in the project data framework. Meetings and deliverables anticipated under this Task include: ●Scheduling,logistics,and meeting management through December 2024. ●Development of meeting materials including agendas,facilitation guides,and presentation materials through December 2024. ●Attendance and facilitation at Focus Group meetings. ●Data framework updates and report outs to County staff through December 2024. ●Coordination with subconsultant teams through December 2024. ●Focus Group meeting summaries through December 2024. Original Task 108 amount:$30,000 Amended Task 108 amount:$42,480 Task 109 Questionnaires ($9,800) Purpose:Design Workshop and GBSM will assist the County with broad engagement to the community through the development of community surveys across different topics under the Vision 2050 Project including the Building /Energy Code and Comprehensive Plan.These surveys will be managed in Qualtrics software with regular result updates given to County staff and summaries provided at the closure of surveys.(Survey summaries will be provided,as requested,in a Google Document). Meetings and deliverables anticipated under this Task include: ●Development of demographic survey questions through December 2024. ●Set up of Qualtrics survey suite and up to 3 surveys for Vision 2050 Project through December 2024. ●Ongoing management of survey results and summary report outs through December 2024. ●Development of targeted community survey questions for Pop-Up events and Community Workshops through December 2024. These events are integral to reaching residents where they are and providing opportunities for organic conversations with community members,survey promotion,and providing details on upcoming engagement opportunities (both in-person and online). The Community Workshop will be primarily focused on introducing the Vision 2050 Project to the public and providing an introduction to the Comprehensive Plan process including key information about existing conditions in the County,Comprehensive Plan elements,and identified policy areas for inclusion within the plan.This event will also provide information on project scheduling,key components of the Vision 2050 umbrella,including technical analyses and studies and CGAC recommendations. Meetings and deliverables anticipated under this Task include: ●Coordination meetings,as requested,with County Long range team through December 2024. ●Support for meeting materials development including Pop-Ups in August and September and the Community Workshop.Specifically,Design Workshop and GBSM will create material templates and will review and provide guidance on overarching content and meeting development but anticipates that County staff will be developing content for Comprehensive Plan break-out discussions and the Community Workshop in October 2024. Based on our conversation with you on 1/10/2024 we understand that the county is interested in moving forward with community engagement efforts in Phase II, Public Outreach / Public Process Coordination, which requires approval under additional service requests. Specific tasks include: Task 2.1 Community Engagement Plan ($20,000) This task will establish a community engagement plan to inform the work throughout the project based on implementation of the CGAC Recommendations and Project Roadmap. It will identify ways to engage the general public, tentative schedule of engagement activities timed with other project work, and project communication strategies. a.Community engagement plan in word, to be updated at key milestones.b.Public Engagement Process and Schedule, reviewed and updated at key milestones.c.Coordination with Pitkin County staff is anticipated to develop plan scope, anticipated to be 2-3 coordinationmeetings.d.Communications Plan, including one round of edits once approved by the county staff team. These are anticipated to include interviews or small group meetings with up to 10 -15 participants to enable robust and in-depth conversation.
